Job Description

Olympus Corporation of the Americas (OCA) distributes a wide range of medical and surgical devices used to diagnose and treat diseases. OCA needs to educate health care providers on the safe and effective, on label use of those products through Professional Education courses, workshops, and training events The position entails high-level project management and planning, overseeing the logistical aspects of these events. It involves relationship management and effective communication to coordinate with internal teams and external stakeholders. Additionally, the role requires travel to manage onsite course operations, emphasizing the importance of hands-on involvement in the successful implementation of educational programs.

Job Duties

  • Project Management: Effectively project manage the operations of assigned Professional Education (Prof Ed) courses, ensuring compliance, staying within budget constraints, and maintaining a high level of quality throughout the entire process.
  • Collaboration with Marketing, Curriculum Development, and Clinical Educators: Collaborate with respective marketing departments, Curriculum Development, and Clinical Educators to develop and enhance the educational components of Prof Ed courses, ensuring alignment with organizational goals and objectives.
  • Stakeholder Relationship Building: Develop and nurture relationships with internal and external stakeholders, providing regular updates on course progress and addressing any concerns or needs to ensure smooth collaboration.
  • Logistics Coordination: Identify and coordinate necessary logistics for professional education courses, including but not limited to hotel accommodations, AV equipment, food and beverage, ground transportation, and conference space. Work closely with the team to secure timely bookings and arrangements.
  • Material and Inventory Management: Collaborate with Curriculum Development and Clinical Educators to determine relevant course materials, products, models, and non-inventory items required for each course. Ensure the timely delivery of these resources to support effective learning experiences.
  • Website Management: Perform continuous updates to the Professional Education website for all assigned courses, ensuring accurate and current information is available to participants and stakeholders.
  • Regulatory Compliance: Maintain Olympus Regulatory approved content per policy and procedure, ensuring that all educational materials align with regulatory standards and guidelines.
  • Communication of Policies and Guidelines: Effectively communicate Professional Education policies and compliance guidelines related to healthcare providers (HCPs) to Olympus support staff, course faculty, and facilities, promoting adherence to established standards.
  • Budget Management: Assist in managing the designated budget for assigned courses, ensuring financial resources are allocated appropriately to support the successful execution of educational programs. Monitor expenses and report any discrepancies, while working closely with management to maintain budgetary compliance.
  • Course Assessments and Training Effectiveness Assessments: Collect and document feedback and data on course and training effectiveness. Pass along the gathered insights to the manager and curriculum development team for further analysis and continuous improvement of Professional Education courses.

Job Qualifications

Required:

  • Associate degree required. Bachelor’s degree preferred.
  • Minimum of 3 years of experience is required.
  • Minimum of 1 year of experience in event coordination or project management, and managing relationships with key stakeholders is required.
  • Work flexible hours and weekends as required.
  • Ability to travel approximately 40% of the time.
  • Overnight travel required.
  • Travel via airplane required.

Preferred:

  • Minimum of 1 years of experience in Medical Device, Pharma, or a related field is preferred.
  • Excellent communication skills, both written and verbal.
  • Willingness to learn and participate in training activities (peer training, on-the-job training, or similar).
  • Ability to support multiple projects while adhering to departmental guidelines.
  • Strong organizational skills with attention to detail.
  • Ability to interact professionally and maintain relationships with many different types of professionals (Healthcare professionals, vendors, sales representatives, Legal and Compliance representatives)
  • Eagerness to learn Olympus medical device products and procedures for the assigned business groups and apply this knowledge to daily responsibilities.
  • Demonstrated initiative and creativity in handling assigned tasks.
  • Ability to perform duties with general supervision.
  • Ability to work effectively under pressure.
  • Basic working knowledge of Microsoft Office is necessary.
