Description
BioSensics is a biomedical engineering firm specializing in wearable medical sensor and telehealth technologies. Our physiological monitoring, telehealth, and biofeedback products are used in elderly care, physical therapy, rehabilitation, orthopedics, neurology, and many other areas.
We are looking for a self-driven, detail oriented and motivated individual to join our fast-growing team.
This position is part-time, 3 days per week on-site.
To be successful in this role, the individual must be able to perform the following:
Administrative (about 70%)
- Keep daily office operations running, such as supplies, vendors, mail, shipping, and facilities issues.
- Coordinate meetings, travel, visitors, and company events by managing schedules, preparing agendas and materials.
- Support onboarding and offboarding: workspace setup, access, and paperwork.
- Assist in the scheduling of new hire interviews.
- Process invoices, expense reports, and purchase orders.
- Serve as the first point of contact for general inquiries.
- Manage incoming and outgoing communications including phone calls, emails, shared inboxes, and deliveries; route information appropriately to ensure timely follow up.
- Support payroll preparation and processing such as timesheets and working with office accounting.
Quality assistance (about 30%)
- Assists with maintaining controlled documents and records in the company’s quality management system (QMS).
- Route documents for review and approval.
- Keep training records current and follow up on overdue training.
- Help prepare for internal audits, external audits, and regulatory inspections.
- Assist managing periodic review schedule of documents and procedures.

Required Qualifications
- Bachelor’s degree
- 2-3 years of experience in office administration, quality, or a similar role
- Strong organization and attention to detail.
- Clear written and verbal communication.
- Comfortable with Microsoft 365 and Google Workspace.
- Able to handle confidential information with discretion.
- Able to handle multiple competing priorities and manage multiple tasks
Preferred Qualifications
- Experience in a medical device, pharma, or other regulated environment
- Familiarity with good documentation practices (GDP)
- Experience with an electronic QMS or document control system
