Advocates for Human Potential (AHP) is seeking an Operations Associate II to join our growing team of administrative services professionals supporting behavioral health and human services systems nationwide.

The Operations Associate II plays a key role in the day-to-day management and coordination of department operations. This position supports efficient communication, documentation, and workflow across teams and may take ownership of specific artifacts or streams of data. The successful candidate is detail-oriented, collaborative, and proactive in ensuring that activities run smoothly and align with AHP’s standards of excellence.

Operations Associate II staff work closely with leadership, often partnering with the Operations Manager to plan, organize, and track deliverables. They may also support our funds disbursement and account management teams, liaise with grantees, or support the development of deliverables.

Knowledge

  • Strong understanding of time management, task management, and implementation planning, which would typically be gained through a bachelor’s degree and 3 to 5 years of work in program administration or as a coordinator, or holding a master’s degree in business, public administration, management, or public health.

  • General understanding of the policy and organizational landscape of one of AHP’s key areas of focus, such as behavioral health, substance use, workforce development, or criminal justice, that would typically be gained through some work within health care, health technology, human services, behavioral health, or public health, or through relevant coursework.

  • Understanding grant lifecycle management.

  • Intermediate understanding of written and verbal professional communication and behavior.

  • Moderate understanding of program budgeting, account management, and client success.

  • Increasing skill in leadership and shaping outcomes and behavior of internal and external stakeholders without organizational chart oversight

  • Administrative skills and the ability to organize and prioritize tasks.

  • Extremely high-level professional communication, both verbally and in writing

  • Strong Microsoft Office suite and spreadsheet management skills

  • Development of written and online materials (e.g., templates, reports, presentation slides, documents)

Responsibilities:

Administrative

  • Serve as the primary point of contact for maintaining SharePoint sites and file structures.

  • Prepare meeting documentation, notes, and follow-up materials independently.

  • Develop and manage organizational systems to support operations and team efficiency.

  • Coordinate logistics, including scheduling meetings, tracking tasks, and communicating with internal and external stakeholders.

  • Lead portions of team meetings related to assigned areas of work.

Training and Technical Assistance

  • Manage a designated inbox and respond to stakeholder inquiries in a timely and professional manner.

  • Provide logistical and operational support for training and technical assistance activities.

  • Sponsor outreaches and supports the account management team as needed.

Content Development

  • Conduct independent research on relevant topics to inform materials and deliverables.

  • Develop standard operating procedures for assigned areas, proactively identifying opportunities to document and streamline processes.

Management

  • Oversee Vendor Management Initiatives

  • Assist the Operations Manager in core management functions, including:

  • Developing and maintaining the work breakdown structure and timeline.

  • Tracking progress against implementation plans and deliverables.

  • Documenting risks, issues, and mitigation strategies.

  • Maintaining management of artifacts and organizational process assets.

  • Apply AHP tools, templates, and processes to improve efficiency and consistency in execution.

  • Provide quality control reviews of deliverables.

  • Support leadership in budget tracking and invoice review.

  • Demonstrate strong self-management and independent execution of assigned tasks.

  • Actively contribute to team discussions around strategy, planning, and continuous improvement.

Work Hours and Expectations

This is a full-time, exempt position. As such, the role is not eligible for overtime compensation under the Fair Labor Standards Act (FLSA). While the standard workweek is 40 hours, exempt employees are expected to work the hours necessary to fulfill their position's responsibilities. This may include occasional evenings or extended hours during periods of high activity, critical deadlines, or special s.

Flexibility, accountability, and a results-oriented mindset are essential to success in this role. The Operations Associate II must be able to balance multiple priorities, adapt to changing demands, and independently manage assigned responsibilities while supporting the broader team.

Location

All work must be performed within the United States. Employees are required to reside in and carry out their job responsibilities from a location within the 50 states of the U.S., including D.C., for the duration of their employment. Limited exceptions may be granted for short-term personal or business travel outside of these areas, subject to prior written approval and in compliance with company policy.

Salary Range

The starting salary range for this position is between $70,000 and $80,000, depending on experience, education, and other factors.

The base salary range above represents the low and high ends of the AHP salary range for this position. Actual salaries will vary and may be high or low, depending on a range of factors, including but not limited to location, experience, and education. The range listed is just one component of AHP’s total compensation package for employees.

Work Environment and Physical Requirements

This position is primarily sedentary and requires the ability to remain in a stationary position for extended periods while operating a computer and other standard office equipment. The role involves frequent communication via video conferencing, email, and other digital platforms. As such, employees must have access to a reliable and secure internet connection that supports remote work responsibilities, including video meetings and the use of cloud-based systems.
