Wellist is seeking a detail-oriented and adaptable Office Administration Specialist to join our team. This role will provide crucial support to our growing team by serving as a utility player handling various administrative tasks, completing detailed data entry and data audits and ensuring efficient and smooth daily operations. The ideal candidate will excel in multitasking, possess strong communication skills, and enjoy a variety of projects with varying scopes and requirements.

What You Will Do:

  • Perform data entry and data comparison/audit with high degree of accuracy.
  • Completion of Expense reports utilizing Expensify.
  • Order office supplies and maintain inventory levels, ensuring cost-effectiveness.
  • Support HR activities such as sourcing candidates and technology setup for new employees
  • Answer inbound user and general community calls, as needed.
  • Build database of qualified prospects by identifying stakeholders on LinkedIn and online.
  • Provide general administrative support to ensure efficient operation of the office.

What You Bring to the Role:

  • Proven experience as an administrative assistant, virtual assistant, or office admin assistant role.
  • Proficient in MS Office (Word, Excel, Outlook, PowerPoint) and office management software (e.g., MS Teams, Slack). Experience with Applicant Tracking Systems (e.g., Greenhouse) is a plus.
  • Excellent organizational and time management skills, with the ability to adapt and prioritize tasks.
  • Strong written and verbal communication skills.
  • Ability to work independently and proactively ask questions when clarification is required.
  • Attention to detail and problem-solving skills.
  • Ability to adapt to new software and technologies quickly.

Logistics:

  • This is a full-time position based at our Boston office near Copley Station.
  • Occasional flexibility in work hours may be required to accommodate business needs.
  • Some tasks may require standing, walking, or lifting objects.
